In this video, discover the difference between the SUBTOTAL function and the Subtotal feature in Excel and learn how to use both to insert subtotals in your data.

The Subtotal feature adds subtotal and grand total rows to a data set to convert data to a summary report. It also adds row groups that can be expanded and collapsed to just view the subtotal rows.

The SUBTOTAL function is used within the subtotal rows that are created. When the rows are hidden or collapsed, the formulas will still display the correct results because they use the 1-11 function numbers in the first argument of the SUBTOTAL function.

The SUBTOTAL function also excludes any other cells with SUBTOTAL formulas that are in the formula's reference range. This means that the subtotals do NOT get double counted. This makes it easier to use than the SUM function for creating total and subtotal rows.
